Payment Policy

We require a 30% deposit at the time of booking. This is required for us to begin all the necessary booking processes and make reservations with third parties. Full payment of the remaining amount is required least 35 days prior to the start of any tour in order to finalize ground preparations.

Cancellation & Refund Policy

We have separate cancellation policies for mountain climbs and other activities. This is due to requirements of third parties like hotels, flight and vehicle agents, national park entrance fees, etc.

When we send a refund, we will deduct the bank fees for making the refund transfer from the sent amount. The fees for an international SWIFT transfer are approximately $95, but may differ in your particular circumstances.

A): Mountain climbs including Mt Kilimanjaro, Mt Meru, Mt. Oldoinyo Lengai and Mt Longido

For any written cancellation notice received from our client or member of a group by Trek & Hide Adventures about the cancellation of the mountain climb up to 7 days before the start of the trek, the Company will refund 100% of the payment received.

• If a written cancellation notice is received 6 to 4 days before the planned date the payment received will be subject to a 50% cancellation fee
• If a written cancellation notice is received 3 days or fewer before the planned date no refunds will be given

B): Wildlife Safaris, Cycling Challenges, Cultural Tours, Beach and Water Sports and other Services

After a written cancellation notice is received from our client or member of a group by Trek & Hide Adventures, the cancellation fee will be determined as follows:

• 35 days or longer: NO CANCELLATION FEE
• 20 to 34 days: 30% CANCELLATION FEE
• 15 to 19 days: 50% CANCELLATION FEE
• 10 to 18 days: 75% CANCELLATION FEE
• 9 or less: No refunds

Date Change Policy

If you wish to postpone your booking or change to a different kind of tour instead of cancelling, we will work with you to accommodate your needs. We ask for a written notice at least 14 days before the tour starts. In this case we will retain any amount received from you.

If third party charges, for example hotels or national park entrance fees change between your originally planned date and actual tour date, we will adjust the price of the tour. We will inform you of such changes as soon as they come to our knowledge.
